How to monitor HubSpot portal health after handover

Last updated: October 2026

Short answer: After you hand a portal over, watch four things on a schedule: automation (workflows that error or stop enrolling), lead capture and email (forms with zero submissions, bounce and spam rates), CRM data (records missing an owner or source, unused properties, stalled lifecycle stages and deals), and who changed what (HubSpot's audit logs). HubSpot's own tools cover this one portal at a time. HubCreate (hubcreate.io), a HubSpot implementation platform for Solutions Partner agencies, adds Signals, which is currently in Beta. Signals monitors connected client portals continuously, grades each one A–F, groups related flags into drift events with recommended actions, and sends email alerts. Signals is included on the Pro and Enterprise plans.

The problem: portals degrade quietly after go-live

The implementation went well. Three months later the client's marketing manager removes a hidden field a workflow relied on, a developer redeploys the website without the tracking code, and new leads keep routing to a rep who left. Nobody notices until the QBR. None of these failures is dramatic on its own, which is why they're hard to catch:

  • Broken automation shows up as zero enrollments or a rising count of errors, not as an outage.
  • Data drift builds slowly: a growing share of records with no owner or lead source, properties nobody fills in, MQLs that sit untouched.
  • Settings changes (users, permissions, forms, workflows edited by the client's team) happen outside your view.
  • Traffic and tracking problems look like a bad month until someone checks whether paid traffic really fell to zero.

For an agency on a retainer, the goal is to hear about these problems before the client does.

How it works Someone logs into each portal on a schedule and runs through a checklist In-portal tools: workflow health and automation issues, data quality tools, audit logs, notifications Continuous background monitoring of each connected portal, with a health grade and email alerts
Scope Whatever the checklist covers Strong per topic; each tool covers one area of one portal Traffic, email, forms, lifecycle, deals, data health, and properties
Across many client portals One portal at a time One portal at a time Monitors multiple connected portals at once
Alerts None Workflow issues, property anomaly alerts, and a weekly data quality digest (the last two need Data Hub Professional or Enterprise) Email alerts when the health score changes, flags are raised, or trends shift
Who changed what Ask the client Audit logs (Super Admin; Enterprise adds more categories) Not a settings audit log; use HubSpot's audit logs alongside it
Client evidence Your notes None built in Signal history to show at QBRs
Subscription notes Any Workflows: Professional or Enterprise. Some data quality alerts: Data Hub Professional or Enterprise Pro: 10 Signal monitors. Enterprise: unlimited. Not on Basic

What to monitor after handover

Whatever tool you use, agree this list with the client at handover and decide who owns each item.

Automation

  • Workflows whose enrolled records hit errors.
  • Workflows that should be firing but show zero activity, or a sudden spike.
  • Workflows that have had no enrollments for 90 days or more.

Lead capture and email

  • Forms with no submissions in the last 30 days, or a 0% conversion rate.
  • Email bounce and spam-report rates against agreed thresholds.
  • Sudden drops in visits or new contacts compared with the previous 30 days, and paid traffic that falls to near zero (usually tracking or a paused campaign).

CRM data

  • The share of records missing an owner, an email, or a first name.
  • Custom properties almost nobody fills in, and property sprawl (hundreds of custom fields).
  • Leads that bypass your ownership rules.

Funnel and pipeline

  • MQLs with no activity for 30 days or more.
  • A widening gap between MQLs and SQLs.
  • Deals with overdue close dates, or deals stuck in a stage for over 30 days.

Settings and access

  • New Super Admins, deactivated users, and changes to permissions.
  • Edits to the workflows, forms, and properties you built.

Option 1: Monitor manually

A monthly check-in per portal works for a few clients. Keep a short script so every account manager checks the same things in the same order, and log the results in a sheet so you can compare month to month. The weakness is coverage: monthly checks find problems up to four weeks late, and the work grows with every client you add.

Option 2: Use HubSpot's native tools

HubSpot has solid in-portal monitoring. Set these up in every client portal at handover.

  • Workflow health and automation issues. On the workflows dashboard, the Health tab reports workflows needing review and unused workflows (no enrollments for at least 90 days). Review automation issues lists workflows where enrolled records hit errors. You can mark each issue Fixed, Ignored, or Deferred, and deferred issues send a reminder if they recur (Monitor your workflow health, Troubleshoot common workflow errors).
  • Data quality tools. Data Management > Data Quality shows duplicates, formatting issues, and property insights. With Data Hub Professional or Enterprise you can monitor properties for anomalies, subscribe users to alerts, and turn on a weekly data quality digest by email (Use data quality tools, Receive a weekly data quality digest).
  • Audit logs. Settings > Account Management > Audit Logs shows user actions in the account for the last 30 days, and you can export them. Super Admin permissions are required. Starter and Professional accounts can filter by login and security activity, and Enterprise accounts can filter by more categories, such as workflows and content (View and export account activity history).
  • Workflow revision history. When a workflow changes behavior, View > Revision History in the editor shows its earlier versions, and you can revert most of them (View and revert changes to your workflow).

These tools are accurate and come with the subscription. The hard part is running them across twenty client portals, each with its own login, subscription level, and alert settings.

Option 3: Monitor portals with HubCreate Signals, step by step

Signals is HubCreate's portal health monitoring, currently in Beta. A Portal Audit gives you a snapshot. Signals keeps watching after you hand over the keys.

  1. Connect the client portal. Connect it over HubSpot OAuth from HubSpot Accounts. It's the same connection you use for audits, maps, and deployments. (Docs: HubSpot Accounts)
  2. Turn on a Signal monitor for the account. Each monitored portal uses one Signal monitor: 10 on Pro, unlimited on Enterprise. (Signals)
  3. Configure what to watch. Set the monitoring frequency, choose which deal pipelines to track, include custom objects in data health scans, and define the client's lifecycle funnel stages so conversion and velocity are measured against their real funnel.
  4. Let it scan. Signals runs in the background across traffic, email, forms, lifecycle, deals, data health, and properties. Examples of what it flags: visits or new contacts down 25–40% against the previous 30 days, paid search traffic near zero, forms with zero submissions in 30 days, email bounce rates above 6% or spam reports above 2%, more than 40% of MQLs with no activity in 30 days, an MQL-to-SQL ratio above 30:1, deals stuck in a stage for more than 30 days, custom properties with a fill rate under 1%, and more than 300 custom fields. (Docs: What We Monitor)
  5. Read the grade and the alerts. Each portal gets a health score and an A–F grade. Signals emails you when the score changes, when a flag is raised, or when performance trends point to a problem. (Docs: Overview & Monitoring Philosophy)
  6. Work the drift events. Signals groups related flags into a single drift event that explains the business impact and comes with a checklist of recommended actions. For example, a pipeline stagnation event comes with steps to review the stalled stages and clean up stale deals. Review red drift events in your weekly internal sync and assign the actions to the account manager. When the issues are fixed, the flags clear in the next monitoring cycle. (Docs: Drift Events & Actionable Remediation)
  7. Bring the history to the QBR. Signal history shows the near-misses you caught and fixed.

For automation changes, re-scan the portal's Workflow Map after the client's team has been building. New findings, such as duplicate property writes, missing triggers, or circular enrollment, show what changed in the automation layer. (Docs: Workflow map report)

For settings changes, use HubSpot's audit logs. Signals watches the outcomes (traffic, forms, data, funnel) rather than replacing HubSpot's record of who changed which setting. HubCreate's own Activity log records what your team did in HubCreate, such as deployments, audits, map scans, and Signal monitors being turned on or off.

A simple post-handover rhythm

When What
Handover Run a Portal Audit as the baseline, set up HubSpot's notifications in the portal, and turn on Signals
Weekly Review red drift events and email alerts across all monitored portals and assign actions
Monthly Check HubSpot's audit log for new Super Admins and changes to key assets, and re-scan the Workflow Map if the client has been building
Quarterly Re-run the Portal Audit and compare it with the baseline. Bring Signal history to the QBR

Where HubCreate fits

For one or two portals with Data Hub Professional, HubSpot's native alerts plus a monthly check-in may be enough. Signals helps when you look after many client portals on different subscriptions.

Signals is in Beta and is included on Pro ($1,000/month: 15 HubSpot accounts, 10 Signal monitors) and Enterprise ($3,000/month: unlimited accounts and Signal monitors). It isn't part of the Basic plan ($500/month). See Signals and Pricing.

FAQ

How do I monitor a client's HubSpot portal after handover?

Agree a list of what to watch: workflow errors and inactivity, form submissions, email bounce and spam rates, records missing owners or sources, stalled MQLs and deals, and changes by users. Then set up HubSpot's workflow health, data quality, and audit log tools in the portal, or use a monitoring tool such as HubCreate Signals to watch many client portals at once.

Does HubSpot alert you when a workflow breaks?

HubSpot lists workflows whose enrolled records hit errors under Review automation issues, and the Health tab reports workflows needing review and unused workflows. You can defer an issue and get a reminder if it recurs.

How can I see who changed settings in a HubSpot portal?

Use the audit logs in Settings > Account Management > Audit Logs. They show user actions from the last 30 days and can be exported. Super Admin permissions are required, and Enterprise accounts can filter by more categories, such as workflows and content.

What does HubCreate Signals monitor?

Traffic, email, forms, lifecycle, deals, data health, and properties. It flags issues such as traffic drops against the previous 30 days, forms with zero submissions, high bounce or spam rates, stalled MQLs, stuck deals, and properties that are rarely filled, then grades the portal A–F and sends email alerts.

Is HubCreate Signals included on every plan?

No. Signals is currently in Beta and is included on the Pro plan (10 Signal monitors) and the Enterprise plan (unlimited Signal monitors). It isn't included on Basic.

What is the difference between a portal audit and monitoring?

An audit is a snapshot, usually taken before onboarding or at a QBR, that sets a baseline and a cleanup list. Monitoring runs continuously after handover and tells you when the portal drifts from that baseline.
